Vuno Kejani Ltd ("Vuno Kejani", "we", "our", or "us") operates a house and hostel hunting platform connecting clients with local agents across Kenya. We respect your privacy and are committed to protecting your personal information.
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, mobile application, or services (collectively, the "Platform").
By using Vuno Kejani, you agree to the practices described in this Privacy Policy.
1. Information We Collect
As a three-sided marketplace, we collect different information from Clients, Agents, and Property Owners/Agencies:
From Clients
- Names - Full name for identification
- Phone Numbers - Primary contact (M-PESA registered)
- Address - Current residence or mailing address
- Property Preferences - Location, budget, house type
- Institution - For hostel hunting requests
From Agents
- National ID Number - KYC verification
- Phone Number - M-PESA withdrawal number
- Business Email - Provided by Vuno Kejani
- County Assignment - Territory (max 15 per county)
- KRA PIN - For tax compliance
- Profile Photo - For client trust
From Landlords/Agencies
- Names - Contact person name
- Phone Numbers - Direct contact for clients
- Property Location - Exact neighborhood/area
- Property Details - Type, price, amenities, photos
- Institution Name - For hostels (near which school)
Usage Information (All Users)
- IP Address & Device Info - Browser type, operating system
- Usage Data - Pages visited, time spent, actions taken
- Location Data - General area for property matching (with consent)
- Cookies - To improve experience and remember preferences
2. How We Use Your Information
For Clients:
- Verify identity and contact you about property requests
- Assign you to the correct agent based on your preferred location
- Process service fee payments via M-PESA STK push
- Send property recommendations matching your criteria
- Enable chat with your assigned agent
- Notify you when properties matching your request are added
For Agents:
- Verify identity through National ID and KRA PIN
- Assign exclusive territories (neighborhoods/institutions)
- Track earnings and process withdrawals to M-PESA
- Monitor performance and client satisfaction
- Communicate with assigned clients via the platform
- Calculate profit share (50/50 after expenses)
For Landlords/Agencies:
- List properties on our platform
- Connect with verified clients through agents
- Update property availability and details
- Receive inquiries about your properties
3. Payment & M-PESA Data
Our integrated payment system uses Safaricom M-PESA for all transactions:
Client Pays
Service fee via STK push
Split
Expenses deducted, balance shared 50/50
Agent Withdraws
Share + expenses to M-PESA
Payment Information We Process:
- M-PESA Transaction IDs - For reconciliation and dispute resolution
- Phone Numbers - For STK push and agent withdrawals
- Payment Amounts - Service fees, agent earnings
- Payment Status - Paid, pending, failed, refunded
- Agent Expenses - Declared amounts for field costs
Important: We do not store your M-PESA PIN or full bank details. All payments are processed through Safaricom's secure API. Agent withdrawals are processed via Business to Customer (B2C) API.
4. Our Agent Network
Vuno Kejani operates a unique territory-based agent model:
- Maximum 15 agents per county
- Each agent receives equal number of neighborhoods/institutions in their county
- Agents have exclusive territories - no competition within assigned areas
- Agents cover both residential houses and hostels near institutions
Agent Data Usage:
- National ID - Verified for fraud prevention and legal compliance
- Phone Number - Used for withdrawals and client contact (masked in chat)
- Business Email - Official communication (@vuno.co.ke domain)
- Territory Assignment - Tied to specific neighborhoods/institutions
- Performance Data - Conversion rates, response times, client ratings
Agents are independent contractors, not employees of Vuno Kejani. Their information is shared with clients only as necessary for house hunting services.
5. Information Sharing
We do not sell or rent your personal information. We may share information in these specific cases:
With Your Consent:
- Clients ⇄ Agents: When you request house hunting, your contact info is shared with your assigned agent to facilitate service
- Agents ⇄ Landlords: Agents share client requirements with landlords/agencies to arrange viewings
- Payment Processing: Transaction data shared with Safaricom M-PESA
Service Providers:
- Safaricom - M-PESA payment processing
- Cloud Hosting - Secure data storage
- Analytics - Platform usage analysis (anonymized)
Legal Requirements:
- To comply with Kenyan law, court orders, or government requests
- To protect rights, property, or safety of Vuno Kejani, users, or others
- For tax reporting (agent earnings reported to KRA)
6. Cookies and Tracking
Our Platform uses cookies and similar technologies to:
- Keep you logged in during sessions
- Remember your property preferences and recent searches
- Analyze traffic and improve user experience
- Detect fraud and unauthorized access
You can manage cookies through your browser settings. Disabling cookies may affect functionality (e.g., chat may not work properly).
7. Data Security
We implement industry-standard security measures:
- Encryption: All data transmitted via HTTPS/SSL
- Authentication: Session-based login with timeout
- Access Control: Strict role-based permissions
- Monitoring: 24/7 fraud detection and unusual activity alerts
- Data Minimization: We only collect what's necessary
- Regular Backups: Encrypted, secure off-site storage
National ID numbers are encrypted at rest and only accessible to authorized personnel for verification purposes.
8. Data Retention
- Client Data: Retained for 5 years after last interaction (for dispute resolution)
- Agent Data: Retained for 7 years (tax compliance - KRA requirement)
- Transaction Records: Retained for 7 years (financial audit trail)
- Chat Logs: Retained for 2 years, then anonymized
- Inactive Accounts: Deactivated after 2 years, data anonymized
9. Your Rights
Under Kenyan Data Protection Act, 2019, you have the right to:
- Access: Request a copy of your personal data
- Correction: Update inaccurate or incomplete information
